Draft for legal review. These terms accurately describe how Stubservant’s software actually works. They still need your registered company name, address, and company number filled in below, and should be reviewed by a solicitor before you rely on them as a binding legal document.

1. Agreement to these terms

These terms govern your use of Stubservant, an event ticketing platform. By creating an organizer account, posting an event, or buying a ticket through Stubservant, you agree to them. If you’re agreeing on behalf of a group, club, venue, or company, you’re confirming you have the authority to do so.

2. What Stubservant is

Stubservant lets organizers post events, sell tickets, and scan guests in at the door. We provide the software and payment infrastructure (via Stripe) that makes this possible. We are not the organizer of any event listed on the platform, and we don’t promote, vet, or guarantee any event beyond what these terms require of organizers.

3. Accounts

You need an account to post events (an “Organizer” account) or to help scan tickets at the door (a “Scanner” account, invited by an Organizer). You’re responsible for keeping your login credentials secure and for anything that happens under your account. Tell us straight away via our request form if you think your account has been compromised.

4. Plans, billing, and payment

Organizer plans are billed monthly in advance and renew automatically until cancelled, or you can post a single event under our one-off plan for a flat fee instead — see Pricing for current rates. All payments, including ticket sales, are processed by Stripe; we never see or store your card details.

Each plan has a monthly ticket-sales cap. If you reach it, new ticket sales pause until the next billing period or until you upgrade — existing tickets and events aren’t affected. You can cancel or change your plan at any time from your billing dashboard; changes take effect as described there.

5. Ticket sales — who you're contracting with

When someone buys a ticket to your event, the contract for that ticket — including admission, cancellations, and any refund — is between the guest and you, the Organizer. Stubservant provides the platform and payment processing; we are not a party to that sale, except where we process a refund on your instruction.

As an Organizer, you’re responsible for your event actually happening as described: accurate event details, any licences or permissions your venue or event type requires, complying with age restrictions you set, and handling guest questions, complaints, and refund requests for your own event.

6. Refunds

Ticket refunds are issued by the Organizer at their discretion, from their own admin dashboard, straight back to the guest’s original payment method via Stripe.

Subscription and one-off fees paid to Stubservant for use of the platform are non-refundable, except where required by law or where we’ve made a billing error.

7. Acceptable use

You agree not to use Stubservant to:

  • Post an event that’s illegal, fraudulent, or that you don’t have the right to hold
  • Sell tickets you don’t intend to honour
  • Attempt to bypass ticket caps, payment processing, or door-scanning controls
  • Upload content (posters, logos, descriptions) that infringes someone else’s rights or is unlawful, defamatory, or abusive
  • Interfere with the platform’s normal operation or attempt to access other organizers’ data

We can suspend or close an account that breaches this, with notice where reasonably possible.

8. Content and intellectual property

You keep ownership of what you upload — event descriptions, posters, logos — and grant us the licence we need to display and process it as part of running your event page and tickets. The Stubservant platform itself (the software, design, and branding) belongs to us; these terms don’t transfer any of that to you.

9. Data protection

How we collect and use personal data — yours and your guests’ — is set out in our Privacy Policy. Where you collect guest data through your event (names, emails), you’re a data controller for that data too, alongside us.

10. Service availability

We aim to keep Stubservant available and working correctly but don’t guarantee uninterrupted or error-free service. We may need to pause the service for maintenance, and we’ll try to keep any disruption brief and, where practical, give notice.

11. Liability

Stubservant is provided “as is.” To the extent permitted by law, we’re not liable for indirect or consequential losses, or for losses arising from an Organizer’s own event — cancellations, venue issues, or disputes with guests are the Organizer’s responsibility. Nothing in these terms limits liability where the law doesn’t allow it to be limited, including for death, personal injury, or fraud.

12. Ending your account

You can close your Organizer account at any time; do it before your next billing date to avoid being charged again. We may suspend or close an account for breach of section 7, non-payment, or where we’re required to by law. On closure, published events are taken down and future ticket sales stop; records tied to completed sales are retained as described in our Privacy Policy.

13. Changes to these terms

If we make a material change, we’ll update the date at the top of this page. Continuing to use Stubservant after a change means you accept the updated terms.

14. Governing law

These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute arising from them.
